Organize Invoice and Receipt PDFs on Mac Without Moving Them

Keep invoice and receipt PDFs where you already save them. Add a few Finder tags for the document type, the year you use for filing and whether you have reviewed the paperwork.

Little Tagger can make that tagging routine repeatable. It is not an accounting app and does not decide whether an invoice has been paid.

Choose a filing rule before you choose tags

A downloaded PDF can have several relevant dates: the invoice date, the payment date and the day you saved the file. They are not interchangeable.

Decide which year your personal filing system uses. Read it from the document or your existing records, rather than assuming that the file's creation or modification date is the answer.

For this example, the year tag refers to the year printed on the document. The examples are fictional and describe file organization, not a record-retention or accounting policy.

Add a supplier tag only when you regularly look for documents by supplier. You do not need to turn every line on a receipt into a tag.

Start with a batch you understand

Open a small selection of documents and check what they are. A file with "invoice" in its name may still be a draft, credit note or supporting attachment.

Set Little Tagger to manual processing before adding the files. Bring in only the intended batch through Add Files or drag and drop. Keep recursion off unless you deliberately want to include files inside subfolders.

Separate invoices from receipts where the distinction matters. Do not apply "Invoice" to every PDF in a Downloads folder.

Save a preset for the repeated part

For a batch you have confirmed contains invoices from 2026, create an Add preset with "Invoice", "2026" and "To Check".

Use a separate preset for receipts. Add a purpose such as "Travel" only to the files that belong to that category.

Apply the preset and inspect a few results before continuing. The expected result is the same PDFs, in the same locations, with the selected Finder tags added. Little Tagger does not rename the supplier's file or change the PDF content.

Update the review status deliberately

After checking a document against the records you rely on, change its review tag. A two-step workflow can remove "To Check" and add "Checked" to the files you have finished reviewing.

Keep the year, type and purpose tags. Removing all tags would throw away useful context along with the old status.

Do not use "Checked" to mean several different things. Checking that a receipt is readable is not the same as recording it in your accounts. Use a different status when you genuinely need that distinction.

A "Paid" tag is also only a label. Neither a preset nor an AI suggestion verifies a bank transaction.

Test the question you will ask later

Try finding the equipment receipts for your chosen year, or the invoices still waiting for review. If your system makes those tasks easier, it is doing its job.

When you share paperwork with someone else, include the information they need in an agreed format. Do not assume your Finder tags will become fields in their accounting software or remain visible after an email upload.

Keep the other jobs separate

Continue using your existing backup. Use a scanner or OCR tool when a document needs scanning or searchable text. Use your accounting system for amounts, payment records and reporting.

Tags help you retrieve documents. They do not make a folder an audit trail or establish whether a document can be deleted.

Can Little Tagger read invoice details into fields?

This workflow does not provide invoice-field extraction. Optional tag suggestions are not a substitute for checking dates, totals or payment status against the document and your records.

Does adding a tag alter the PDF?

Little Tagger writes Finder tags rather than editing the PDF's contents. File-tag metadata and the information printed inside a PDF are different things.

Make the next batch less repetitive
