Generate, review, and apply tag suggestions

Prepare the files and settings

1. Wait for any current operation to finish. To stop a pending countdown, choose Manually in the execution timing menu.
2. For a one-off task, choose Actions > Clear Selected Preset to clear a saved preset or workflow selection.
3. Use Clear Files when starting a separate analysis, then add only the files you intend to include.
4. Keep execution timing set to Manually while reviewing the result.

Clearing the workspace does not delete your original files. See Add files and folders to the workspace for the input methods.

Generate and read the suggestions

1. Choose View > Inspector > AI.
2. Wait for automatic generation, or click the circular-arrow Generate tag suggestions button to refresh the results.
3. Read any message explaining unavailable models or limited file evidence.
4. Review Existing Tags and New Suggestions.

Existing Tags are relevant names already in your tag library. New Suggestions are proposed names not yet saved as those library entries. Results describe the workspace as a whole; they are not a separate tag assignment for each source file.

Generation can use filenames, folder context, text from supported documents or images, dates, and the existing tag library. Large or unsupported files may supply only partial information. The current analysis inspects details from up to 18 accepted files and up to the first five pages of a PDF. A message may report other evidence limits.

Choose tags without immediately applying them

Double-click a useful suggestion. An existing tag is added to Selected Tags; a new suggestion is created in the library and added to that selection. Leave unwanted suggestions untouched. There is no need to accept the whole list.

A saved preset still selected in the sidebar will receive these selected-tag edits. Clear that selection before choosing suggestions for a temporary task.

Apply the chosen tags

1. Choose View > Inspector > Tags.
2. Review Selected Tags and remove unwanted prepared names with their × buttons.
3. To add tags while keeping other existing tags, leave Remove All Tags, Remove Selected Tags, and Replace Tags off.
4. Select the intended files in the workspace. A selected file must also be visible and eligible under the active filters. With no files selected, the action targets all eligible visible files.
5. Click Apply and check the result beside the files and in the status area.

A suggestion is not applied only to the file that inspired it. Your current file scope determines where the chosen tag is applied.

Refresh or ignore results

After changing the input files or suggestion preferences, click Generate tag suggestions again. To suppress an unwanted tag name in future results, use Block words and customize suggestions.

Tags already assigned to any accepted file in the workspace are excluded from the suggestion candidates. When you need to apply such a tag to additional files, enter or select it directly in the Tags inspector instead.

If no results appear, see Fix unavailable tag suggestions. A lack of suggestions does not prevent manual tagging.
